Research Project Coordination

Your dedicated Logistics Coordinator is here to ensure the smooth execution of your projects. They properly set up your project on the platform, coordinate with your team and external recruiters, assist with any questions, and ensure smooth execution.

Note: Your project must be awarded 4 days before the first session, to guarantee Project Coordination, and the logistics coordinator does not provide support for Auto-Moderated Research

 

Project Responsibility and Tasks

  • Project setup: Ensure your project is set for your research success
    • Confirm Project Settings and devices allowed for your research.
    • Give project access to your team and share necessary instructions with moderators, collaborators, and recruiters.
    • Coordinate additional research services such as human transcription, professional moderation, translation, or live platform training.
  • Scheduling
    • Schedule, cancel, or reschedule interviews, if necessary.
    • Ensure Interview market (s) and language settings are accurate for research transcription and translation.
    • Send Interview Invites and instructions to Observers.

In case of any changes done with less than 24 hours' notice (adding new session/ new respondents/ rescheduling respondents) project owner is responsible for booking a new session and sharing links. Any session with a no-show or rescheduled/ canceled with less than 24 h notice will be charged a cancelation fee of 100% Support and PC (Cancellation Policy).

  • Assist with Recruiting
    • Coordinate with your recruiting partner and give platform access
    • Share instructions so recruiters can input respondent data
    • Customize/ translate platform notifications to align with your project
    • Send tech checks and interview invites to the scheduled respondent
    • Track Tech Checks and Update the recruiter to reach out to those respondents who have not completed or have problems with their tech checks.
    • Send a summary recap once a day with completed tests, people to be troubleshooted and people pending to complete the test.

*For PII security reasons, DIO requires all information of respondents to be uploaded into our secure application. All PII of respondents will be deleted in 6 months and DIO does not hold or retain any PII information beyond 6 months.

 

Respondent Management

You or your recruiting partner are responsible for adding respondent information to your project and assigning respondents to their scheduled interviews.

Instructions:

The logistics coordinator doesn’t handle any direct communication with respondents. Emails with links are sent from the DIO platform. If you can’t share respondents’ emails you will be responsible for sending all links manually.

Once respondents' data are added

Your logistics coordinator will start sending notifications and tech checks.

You can easily follow the notification status Learn more. Follow up with incomplete ones and make all appropriate follow-up calls to respondents to ensure participation as your process dictates.

Getting Started

Once you're familiar with the responsibilities of your Logistics Coordinator, simply:

  1. Send them your session schedule
  2. Share the email addresses of your moderators and relevant research team members
  3. Manage your respondents or share the email address of your recruiting partner
  4. Prepare your interview materials
    1. Upload your stimuli and test them in your personal meeting room
    2. Customize takeaways questions
    3. Import your Discussion Guide to your project
