Managing Platform Access for Ad Hoc Projects

Learn how project access works on Discuss, including how to view expired projects, what happens when your access ends, and how to regain access.

Platform Access for Ad Hoc Projects

If your project was purchased on an Ad Hoc basis, access is granted for 90 days from the project's execution date.

After 90 days:

  • Projects remain visible on your Dashboard.
  • You can view project details like name, owner, and creation date.
  • You will not be able to open or interact with the project unless access is restored.

You can see the Access End Date in the following locations:

  • On the Project Overview page
  • On your Dashboard, next to each project

Project Owners will receive automated reminder emails:

  • 14 days before access ends
  • 1 day before access ends

These emails include the project name and the exact date when access will be disabled.

Expired projects will appear grayed out on your Dashboard with a message indicating access has ended. The Project Overview page will also display the Access End Date if the project is still within the access window. Although you can no longer open or interact with the project, your data remains securely stored. You will need to either renew your Ad Hoc access or switch to a subscription to access the project.

Platform Access Subscription

If your organization has purchased a Platform Access Subscription, users will retain access to all projects, past and current, for the duration of the subscription.

While the subscription is active:

  • You can open and work on all projects, including those previously created as Ad Hoc.
  • Access to expired Ad Hoc projects is automatically restored when the subscription is activated.
  • If you buy a new Platform Access Subscription, it will restore access to all historical projects across your organization.

Org Admins will see a banner in the platform when the subscription is nearing expiration or has already ended.

Regaining Access

If you’ve lost access to a project, you have a few options:

  • Upgrade to a Platform Access Subscription. This immediately restores access to all past and current projects.
  • Talk to your Org Admin. They can check subscription status or work with Discuss to restore access.
  • Contact Discuss Support. If you need help, reach out via chat or email.

Your data is never lost, only restricted. Once your subscription is updated or access is reinstated, you can resume working with your existing projects as normal.

Long-Term Data Retention

While access to projects can be extended or restored through subscriptions, all project data is ultimately subject to Discuss’s Data Retention Policy.

This policy defines how long project data, recordings, and respondent information are retained on our platform. After the retention period ends, data is permanently deleted and cannot be recovered.

We recommend reviewing the policy if you have specific retention requirements or need to plan for long-term data storage.
