Identifying Repeat Participants

This article covers details of how a project member and recruiter can identify respondents who have participated in conversations within the last six months of your scheduling.

 

General 

  • The “repeat participant notification” (going to refer to it as RPN from now on) signals that a recruit’s email address OR phone number matches another instance where a recruit has been assigned to a session that is in progress OR has completed in the past 6 months.
  • We cannot confirm if they were a “no show”, “joined as main vs. backup”, “joined but didn’t complete due to _____ reason”, or actually fully completed the session.
  • We cannot confirm which recruiter and/or client assigned them to a session.
  • The RPN does NOT show up for two or more future sessions. Ex. if your session has a recruit for Wednesday, and someone else has a session Tuesday with the same recruit. The notification won’t show until the start time of Tuesday’s session, at which time your project would show the RPN.

 

How to Identify a Repeat Participant

Click the 'Add/Edit Respondents' dialogue in the 'Respondent Hub'.

Add the respondent information, including name and email, to the spreadsheet and click 'Done' to save.

***Note: Saving the email is critical to see if this participant has been used within the last 6 months.

 

Head back into the 'Add/Edit Respondents' dialogue.

Look at the participant column to see if the repeat icon shows up for this participant to see if they have been used in the last 6 months.

If the respondent has been used this icon will appear inside the repeat participant column.
