Send Interview Invites to Moderators, Observers and Translators

This article guides project owners, editors, and collaborators on how to send interview invites for Live Conversations.

 

Quick Note

  • Adding moderators, observers, or translators to an interview triggers an email and calendar invitation to users. 
  • Email notifications are automatically sent to moderators, observers, and translators for updates to the session name and time and interview cancellation.
  • Email invites are displayed in Eastern Time (EST) and an event is added to the recipient's calendar, where they can see it in their local time zone.

 

Sending Interview Invites

Once your interviews are scheduled (find scheduling instructions here), you can easily add moderators, observers, and translators directly from your project.

  1. Login to your Discuss account & select your desired project from your dashboard.
  2. Head to your overview page.
  3. Locate your desired interview and click on the + button next to a user role. 
  4. In the pop-up modal, enter or select the recipient's email addresses separated by a comma.
  5. For moderators, ensure they are already added as collaborators or viewers in your project members section. Instructions can be found here.
  6. Invite users to all scheduled interviews by check-marking the add to all interview box.

 

 

 

Calendar Template

To customize your project interview invite template, please follow the instructions here. Otherwise, all interview invite emails are:

  1. Sent from app@discuss.io
  2. Includes the project name and interview name in the title.
  3. Includes the role-appropriate interview link, market, and help center link, and best practices in the email and calendar invite body.
  4. For observers, dial-in number instructions are provided in the email and calendar invite body

Send Interview URL Links

If you prefer to send your interview links off the platform, through your preferred means of communication, this is also possible.

  1. Login to your Discuss account & select your desired project from your dashboard.
  2. Head to your overview page.
  3. Locate your preferred interview and click on copy links from the links column
  4. Copy the Link for Moderators, Observers, or Respondents and send it directly to them via your own calendar or email invitation. 

 

Removing Users from an Interview

  1. From the Overview Tab of your Project, click on Edit, next to the Moderator, Translator, or Observers Email, in the Upcoming Interviews Section.
  2. Untick the box next to their email or click on the trash can
  3. Click on Save to confirm your change.
  4. Users receive an email update.
    • Subject line: You have been removed as a role from an upcoming interview
    • Email body:

Canceling or rescheduling an interview is subject to our cancellation and rescheduling policy and triggers an email update to the user. The cancellation or rescheduling email templates are not customizable.

Whitelisting Discuss Emails

  1. Head to your Spam Folder and locate and open an email from Discuss
  2. Click on Report Not Spam
