This article outlines the comprehensive responsibilities and limitations of a Discuss.io Project Coordinator throughout different phases of a project.
Project Coordinator Responsibilities
- Project Setup
- Proper project setup: setting allowed devices, setting other options (audio-only, anonymization).
- Schedule a platform training* if requested ($500 per training).
- Schedule sessions with proper settings: interview market(s) and date/times, interview language(s), and translation type.
- Delete and reschedule sessions if necessary.
- Coordinate/secure any Moderator, Recruiting, or Translator needs.
- Recruitment
- Coordinate recruitment, quotas, and tech checks completion.
- Add respondents to the Respondent Hub once recruited.
- Make all appropriate follow up calls or reminders to respondents to ensure participation.
- Make all project information available in the Discuss application so that (you) the client have access to “real time” information available 24/7. The items available for access will be Session Links, Tech.
- Check Status, Respondent Profiles, Homeworks, Asynchronous activities, etc.
- Fieldwork and Execution
- Upload client-provided consent forms.
- Upload, set up, and coordinate completion of pre-work on the platform.
- Coordinate translation of documents such as Screeners and Homework questions.
- Organize external moderators* and live translators* if requested.
- Set up a mandatory kickoff call with external moderators.
- Provide ongoing support for moderator-related questions throughout the project.
- Add project members into the Discuss Application and send respective calendar invites for moderators, collaborators, recruiters.
- Solve any issues that might arise during fieldwork and if required have weekly meetings set to keep the project on track.
- Project Closure
- Coordinate final delivery for reports* (if required).
- Confirm the final project costs and submit them to accounting for invoice processing.
Project Coordinator Limitations
- Setup
- Will not send emails or meeting links outside the Discuss Application.
- Recruitment
- Will not share consumer profiles outside the platform.
- Will not provide strategic direction when creating screener or in advising on research methodology. If this is needed Discuss can provide a Professional Moderator*
- Fieldwork and Execution
- Upload Stimuli - Project Coordinators will NOT upload stimuli, given the handling of proprietary information that is downloaded onto Discuss hard drives/devices.
- Send session updates outside the discuss application or after sessions are completed (e.g. respondent profiles in excel, videos uploaded to an external source, etc).
- Update project member seats i.e. downgrade or upgrade a client’s team member
- NOTE 1: Discuss prefers not to provide translation of Discussion Guides when we are not providing moderation.
- NOTE 2: For quality reasons Discuss prefers not to provide translation of Stimulus as these often require localization expertise coming from the brand insights.
Client and/or Discuss Provided Moderator Responsibilities
- If Discuss is providing the moderator
- (Client) Share the final screener OR approve a Discuss-created screener.
- (Client) Approve the final schedule to start recruitment.
- (Client) Conduct briefing and/or debriefing calls with the researcher (If Discuss is providing the researcher) coordinated by Discuss*.
- Share background information and objectives for the study.
- If a report is required, explain your objectives and needs for the report and share any templates you require to be used for the report.
- (Client or Moderator) Create the Discussion Guide (If this is not provided by a Discuss moderator) OR Approve a Discuss-moderator Discussion guide.

(Client) to upload Stimuli if needed = at least 24 hrs in advance of the first session.
- Client to provide translated stims for markets where English is not the primary language spoken (Discuss will not provide translation of stimuli).
- (Client) Customize takeaways questions and an interactive discussion guide (if you would like the moderator to use it).
- (Client) Share the email list of the observers with your Discuss Project Coordinator so they can be added to the sessions and calendar invites can be sent to them.
- (Client) Share the template with your Discuss Project Coordinator and list of questions or instructions for any Pre-task or Asynchronous activities the respondents have to complete before or after the interviews*
- (Client) Share the final template for any consent forms the respondents have to sign before the interviews* (Discuss does not create consent forms)
- (Client or Moderator) Raise an alert to our project coordinator in case of:
- Recruitment issues.
- Technical issues.
- Moderator or translator quality issues.
Additional Notes
- Items marked with * are paid services and will be added to the quote.
- Changes with less than 24-hour notice (new sessions/respondents, rescheduling respondents) may incur additional fees.
- Discuss is responsible for booking new sessions and sharing links.
- Sessions with no-shows or cancellations within 24 hours will be charged a cancellation fee based on the Cancellation Policy.
